Detailed descriptions of all new features/enhancements are provided below.

Check for Duplicate Clients using SSN and FBI Number

To further assist users to avoid creating duplicate clients, users are now made aware if they enter an SSN or FBI number that is already in use for another client.

When Adding a new Client/Involvement, AIMS will provide users an alert if an SSN or FBI Number entered is already in use by an existing Client. Users cannot proceed to the next step without resolving the conflict.

Additionally, validation has been added to ensure SSN is properly formatted, alerting users if the required nine-digit format is incorrect.

Education Start Date – No Longer Required

When adding a new School, Start Date is now an optional field. Additionally, a new Currently Attending indicator has been added to identify if the Client is currently attending the school.

Suspended/Reinstated Notes

Suspended Involvements now display the Notes associated to the Suspended step on the Phase timeline.

The Notes icon displays how many Notes are associated with the step and can be viewed/edited by clicking the Notes icon.

Users may now add Notes when Reinstating the Involvement.

Status Change Notes for Suspend and Reinstate are now available both on the Activities page as well as the Notes tab.

New Notes can be associated through the Status Change Item Type:

View Curfew Checks from the Involvement View

Users with the View Curfew Checks permission now have the ability to view a full curfew history for a Client from Supervision under the Involvement View.

A new “Curfew Checks” tab has been added, showing all Curfew Checks sorted by check date/time (by default).

The new Log Curfew Check button allows users to record a curfew check that has occurred.

Completed Curfew Checks – whether Compliant, Missed or Excused – are then recorded after clicking Log.

Additionally, users can now view any established Curfew Check rules or edit the rules by clicking the Edit icon (pencil) next to Curfew Checks per Weekand/or Curfew Requirements.

To edit a Curfew Check, click the More Info icon to the right of the desired check and select Edit Curfew Check. After making the desired change, click Save

Missed Curfew Check changed to Excused will generate an Alert stating that the Curfew Check status has been changed, while a missed Curfew Check will generate a Missed Curfew Check alert. Reminder: a missed Curfew Check is recorded as an Infraction and a compliant Curfew Check is recorded as an Achievement.

User also now have the ability to delete a Curfew Check by selecting the More Info icon and selecting Delete Curfew Check

Messaging Enhancements

AutoMon has made significant improvements to the messaging functionality throughout AIMS:

Filtering

When viewing the Messaging conversation listing by selecting the Messagingicon in the header, users can now filter the conversations listing by Client, Location, and Caseload.

View Involvement Messages

Users can now view the message history for specific Involvements. After opening the Messaging sidebar, select the desired Client/Involvement. Users will then see a conversation view/message listing for the selected Client/Involvement. The conversation list is scrolled to the bottom by default, showing the latest message at the bottom. Each message is contained in a message bubble, uniquely colored for Inbound vs. Outbound messages (“Outbound” messages are sent from an AIMS user {Blue}; “Inbound” messages are sent from a Client {Gray}). Each message contains Date and Time, as well as the message text and/or attached media (photograph).

Send New Message from Client Message List

From the Conversation listing, users can still select a Client to send a new SMS Text message; new functionality will send the SMS Text message all SMS compatible phone numbers listed in the Client’s Contact Info.

Note that users must have the Edit Messages permission to send a new message. If the user does not have the permission for the selected Involvement, the message input field and send button are disabled and a message stating Additional Permissions Required is displayed.

If a client does not have an SMS capable phone number, users will see a message in the text area stating No SMS Capable Phone Numbers Found, with a link (ADD) to add a new SMS capable phone number.

Create a New Message – Single or Multiple Clients

To create a new message, select the Add Message icon (Plus sign) in the bottom right of the messaging side bar. Users can then search for a Client by name and select the Client from those displayed – each Client is displayed with their photo, Name, and Involvement Number. To select multiple clients to receive the same message, continue searching and select additional Clients. When searching for Clients, the results list does not show clients already selected.

Note that if a Client does not have an SMS compatible phone number, they cannot be automatically added as a message recipient, however, by clicking on the link labeled None under Send To, users will be presented with a screen to enter Phone Type, SMS Capable Phone #, Comments and the ability to indicate if the phone number is the Client’s Primary phone. When completed, the Client will then appear with valid SMS information and can now be added as a recipient.

Users can only send messages to clients where they have Edit Messagingpermission.

Managing Multiple Phone Numbers

Users can now manage a client’s multiple SMS capable phone numbers in the Messaging side bar when adding a new message. For Clients with multiple SMS capable phone numbers, users will see a link stating Multiple SMS Capable Numbers; clicking on the link will display all SMS Capable phone numbers associated with the Client.

Users can mark phone numbers as no longer SMS capable, delete phone numbers, and add new phone numbers directly from the Messaging side bar. Changes recorded in the Messaging side bar are recorded on the Client’s Involvement under Contacts –> Phone Numbers.

View Message Information – Error Messages

For messages that are not delivered, AIMS now provides visibility by indicating an Error icon in the message bubble if a Client’s phone number has a delivery status of “Error”.

Clicking on the message bubble will provide additional insight into the failure.

MMS Options

Users with the Edit Documents permission can now download MMS media such as photographs sent as attachments through the Messaging function. To download MMS media, select the More Info icon contained within the message containing the attachment.

Selecting Download Attachment will download the media to the user’s local machine; selecting Add to Involvement Documents will download the media directly to the Client’s Involvement in Documents.

To view the media from Documents, select the checkbox next to the desired item and click the Download icon

SMS Messaging Access Added throughout the Application

Users can directly open a conversation with a Client by clicking on a Messaging icon that now appears throughout AIMS, including on a Client’s Involvement Overview, batch Contacts, batch Drug Tests and batch Curfew Checks. Clicking the Messaging icon will open the Messaging side panel to view the selected Client’s message history and compose/send a message to the selected Client.

The Messaging icon will be added to Hearings and the Community ServiceInvolvement in a future release.

Word Tag Enhancements

Social Functioning Word Tags

Social Functioning Word tag group has been added to AIMS Word Tags with the following tags:

  • Last Grade Completed;
  • Highest degree/certificate earned;
  • # of births during participation;
  • # of drug-free births during participation.

Employment/Income information Word Tags

An Employment and Income word tag group has been added into AIMS Word Tags with sub-groups with the following tags:

  • Total Monthly Income

  • TANF Eligible;
  • TANF Certification Date.

An Education Word Tag group has been added to AIMS Word Tags with the following tags:

  • Education Level;
  • School Name;
  • Start Date;
  • End Date;
  • Degree/Diploma/Certification Earned.

Contact Information Redesign

The Contact Info tab under Client Info has been redesigned to now display data in a tabular format.

Other improvements include the addition of a new SMS icon in the Phone Numbers section that, when clicked, opens the Messaging side panel to send an SMS message to the Client.

Added Email Address to Client Contact Info

An Email card has been added to allow entry of the Client’s main Email Address. Clicking the Email Address will also open the user’s default email application with the “To:” section populated with the Client’s email address. Note that sent emails are not saved in AIMS.
