The AIMS v1.57 release includes several bug fixes and the following enhancements and new functionality:

New Data Sources

New Data Source: Clinical Info

A new Data Source labeled “Clinic Info” has been added, detailing Clinical information for all Specialty Court clients. The columns included in Data Source are:

  • Involvement ID;
  • Client;
  • Location;
  • Involvement Status;
  • Admitted Date;
  • Exit Date;
  • Medicaid Eligible;
  • Provider;
  • Last Exam Date;
  • Substance Use Disorder;
  • Mental Illness;
  • Currently Pregnant;
  • Prescription Drug.

New Data Source: Contacts

A new Data Source labeled “Contacts” has been added, detailing all Contact records for Specialty Court clients. The columns included in Data Source are:

  • Involvement ID;
  • Client;
  • Location;
  • Track;
  • Phase;
  • Involvement Status;
  • Admitted Date;
  • Exit Date;
  • Contact Type;
  • Contact Date;
  • Start Time;
  • End Time;
  • Contact Status.

New Data Source: Communicable Diseases

A new Data Source labeled “Communicable Diseases” has been added, detailing the number of Specialty Court clients with communicable diseases. The columns included in Data Source are:

  • Involvement ID;
  • Client;
  • Client ID;
  • Location;
  • Involvement Status;
  • Admitted Date;
  • Exit Date;
  • Communicable Disease.

New Data Source: Prescription Drugs

A new Data Source labeled “Prescription Drugs” has been added, detailing all prescription drugs recorded for all Specialty Court clients. The columns included in Data Source are:

  • Involvement;
  • Client;
  • Client ID;
  • Prescription Drug;
  • Dosage;
  • MAT;
  • Location;
  • Involvement Status;
  • Admitted Date;
  • Exit Date.

New Column in “Currently Admitted Involvements” Data Source: TANF Eligibility

A new column has been added in the Currently Admitted Involvements Data Source indicating TANF Eligibility (either “Yes,” “No,” or “Not Available”).

Suspension Management Listing

AIMS users now have access to a Suspension Management listing screen which allows users to view, edit and delete Suspensions in a Specialty Court Involvement. Users can access the new Suspension management listing screen in several ways: 

1. From the Involvement Overview screen, text has been added in the Track Timeline labeled “Total Days in Suspension,” which indicates the total number of days an Involvement has been Suspended. Note that the Total Days in Suspension text will always display, however, it will only become a link when the total days in Suspension is one (1) day or more. 

2. For Involvements currently Suspended, users can click the date listed in the Suspension banner displayed at the top of the Involvement screen.

3. Under Supervision – within any of the tabs (Contacts, Drug Testing or Curfew Checks), click the Suspension Date link (which is only visible when sorting by Date).

4. Under Activities – click the Participant Suspended or Participant Reinstated activity type. 

From any of the four options above, users are navigated to a screen displaying each time the client has been suspended. The listing includes Suspension Reason, Date, Reinstated Date (if reinstated), Days Suspended, Notes and the More Actions icon.

Note: Users also have the ability to Suspend or Reinstate from this screen, depending on if the Involvement is currently Suspended.. 

Editing & Deleting Suspensions

Editing a Suspension

The More Actions icon with the Edit Suspension option has been added to the right of the Notes icon on each Suspension row. Users can edit the Suspensions Reason, Suspension and Reinstatement Dates and add a Note.

Note: The Suspension Start Date cannot be later than the Reinstatement Date and cannot be before any previous Suspensions.  The Reinstatement Date cannot be before the Suspension Date or after any following Suspensions as it will create overlap.

If a user does not have the Manage Involvement permission, the More Actions icon is disabled and the Additional Permissions Required tool tip will display.

When editing a currently active Suspended Involvement, the End Date will not appear on the Edit dialog.

Once a currently active Suspension is edited:

  1. All activities that are in the Scheduled status and land within the new Suspension period are removed;
  2. Previously removed scheduled items that now fall outside of the new Suspension dates are added back, and,
  3. The Suspension dates are changed on all Suspension banners, Notes links, Timeline and on the Activities page.

For already Reinstated Suspensions, 

  1. All activities that are in the Scheduled status and land within the new Suspension period are removed;
  2. Previously removed scheduled items that now fall outside of the new Suspension dates are not added back, and,
  3. Suspension dates are changed on all Suspension banners, Notes links, Timeline and on the Activities page.

Deleting a Suspension

In the case where a Suspension was erroneously recorded, AIMS now provides the ability to delete a Suspension.

To delete a Suspension, click the More Actions icon to the right of the Notes icon and select Delete Suspension.

When deleting a previously reinstated Suspension,users will be prompted with a warning to confirm they wish to complete the action.

When deleting an active Suspension, users will be prompted with a warning below to confirm they wish to complete the action.

If deleting an active Suspension, all previously suspended items for the client Involvement will be restored.  If it is a closed Suspension, then only the Suspension will be removed from history.

Suspension Notes

Notes related to Suspensions and Reinstatements have been enhanced, allowing users to view the Suspend and Reinstated Notes together in one place on the Suspension history page.  

Users can view notes by clicking the Notes icon on each Suspension row. The notes will display a combination of both the Suspension and Reinstatement notes. 

When the selected Suspension has not been reinstated, new notes entered via the Suspend/Edit dialog or the Notes panel will be linked to the “Status Change [date]: Suspended” item.

When the selected Suspension has been reinstated, new notes entered via the Reinstate/Edit dialog or the Notes panel will be linked to the “Status Change [date]: Reinstated” item.

Medically Assisted Treatment (MAT) Indicator for Prescription Drugs

Users now have the ability to track prescriptions that are ordered as part of Medically Assisted Treatment (MAT).

When adding new or editing existing Prescription Drugs, users now have the ability to indicate if the prescription was ordered as part of MAT by toggling the MAT slider to active.

Once marked as a MAT prescription, the drug will be indicated as such in the Prescriptions listing (Client Info –> Clinical Info –> Prescriptions).

Prescription Drug Word tag has been updated to include MAT prescriptions and, as shown above, MAT prescriptions are now included in the Prescription Drugs Data Source. 

Accounting – Payment Plans & Charges

New functionality in AIMS now supports customer requests for the ability to specify a weekly or monthly charge without entering a total amount so that they can bill per week or per month for a program without knowing the program length.

When creating an Obligation, the Payment Plan option located above the Charges table now includes a new “Ends When” option. 

“The total amount due is paid” is selected by default, however, if a user selects “Phase is complete” or “Involvement is closed,” the Add Another option is disabled.

Although you may add credits once the Obligation is saved, Charges are then only added by the system at the specified intervals.

There will be a Charge for each billing interval that has already occurred in the same amount as each bill and cannot be edited.

Charges and bills will continue to be added at the specified interval until either the Phase has ended or the Involvement is closed, depending on the option that was selected.

When editing the Payment Plan, users cannot toggle the “End when” field, however they can change from Phase Completion to Involvement Close.

Ability to Print Community Service Involvements Listing Page (Boulder County, CO ONLY)

AIMS now provides the ability to print the Awaiting Intake and Admitted listing pages from Community Service Involvements.
