The AIMS v1.59 release includes several bug fixes and the following enhancements and new functionality:
- Ability to Copy & Delete Offenses in Infraction Policy;
- Expanded functionality for Graduated Involvements;
- New Hearings Functionality – Bulk Entry & Calendar;
- In-Application Notifications for New Releases
Infraction Policies – Ability to Copy Offenses
Users with the Edit Infraction Policy permission now have the ability to copy Offenses in Infraction Policies for their location, making it easier to create similar Sanction recommendations for each Offense.
From Location Configuration –> Specialty Court Settings –> Infraction Policy, select an Infraction and expand with the toggle icon to the far right.
Select the Copy Offense option from the More icon:
Selecting Copy Offense will open the dialog with the selected Offense information pre-populated; the Offense # will be one (1) higher than the copied Offense. Note: Users may need to click “customize” to see this option if the policy has not already been customized.
Changes can then be made to the existing recommended Sanctions or select the new recommended Sanction and any details. Once saved, this will re-number any offence that follows it.
Infraction Policies – Ability to Delete Offenses
The Delete Offense feature allows users with the Edit Infraction Policy permission for the selected location to remove Offenses from a policy that are no longer needed. Note that this will not affect any Sanctions previously applied using the policy.
If a user selects the Delete Offense option from the More menu, they will be given a delete warning and if confirmed, the offense will be deleted.
Graduate Behavior – Enhanced Functionality
New functionality has been added when Client is marked as Graduated, for both increased visibility as well as ongoing management of the Client.
New functionality related to Graduated Clients include:
- Similar to the red banner indicating when a Client has been Terminated, a green banner is displayed at the top of all of the Involvement pages indicating the Client is Graduated, including graduation date.
- Contacts: Users are able to log Contacts for graduated Clients from the Involvement – Contacts view;
- Drug Tests: Users are able to log Drug Tests for graduated Clients from the Involvement drug testing view;
- Curfew Checks: Users are able to log Curfew Checks for graduated Clients from the Involvement view;
- Accounting: Users are able to log Payments, Charges, and Credits for graduated Clients from the Involvement view;
- Goals/Treatment Plan: Treatment Plans on the Goals view cannot be altered for graduated Clients.
- Community Service: Users are able to edit worksites and log hours on the Involvement – Community Service view for graduated Clients;
- SMS Text messages: Users have the ability to send SMS messages to graduated Clients.
New Hearings Functionality – Bulk Entry & Calendar
Bulk Entry Hearing List Enhancements
New functionality now allows users to view the Bulk Entry – Hearings list by both date and time, as well as further filter and sort the list according to their needs.
The start time lists only the start times for hearings scheduled that day and defaults to the earliest time; if a date does not have any times, the time picker is hidden.
Selecting individual times from the displayed Hearing times will display only the Client Involvements scheduled for that specific Hearing time.
From the Bulk Hearings listing, users are able to filter by Client, Caseload, and Status. “All” is selected by default and all columns are sortable.
Show Case Number of Docket Report
The case number now displays on the Docket Report, allowing court staff to prepare the necessary paperwork and/or pull the necessary files for the specific cases related to the Specialty Court Involvement.
Hearing Reports honor for Filter and Sorting on list
Changes have been made so that when printing Docket Reports the filters and sorting that has been set on the Bulk Entry Hearing list page will be honored. Also, the sorting and filtering on the Bulk Entry Hearings list are “sticky,” meaning when a user navigates back to the Bulk Entry Hearings list, the same filters and sorting used when they previously accessed the page will display.
Schedule One-Time Hearing from Bulk Entry – Hearings Page
Users have the ability to schedule a one-time Hearing for a Client Involvement as they did previously; functionality has been enhanced to allow users to select multiple Client Involvements at one time, if desired.
Clicking the “Schedule One Time Hearing” button will open a dialog with the following fields:
- Hearing Date – defaults to the currently selected date. A hearing cannot be scheduled on a past date;
- Start Time – Defaults to the currently selected time – cannot be in the past;
- End Time – Must be after the start time and defaults to a half-hour after the start time.
- Client involvements – Users are presented with a multi-select Client Involvement search list – the list will not return Clients who already have a Hearing scheduled for the selected date and start time.
Home Page Calendar Hearing Events Listed by Time
Hearing times are also now displayed on the Calendar widget on the Home Page:
Calendar Hearing Events
New functionality allows users to see Hearings scheduled by start time on the Calendar rather than just showing one Hearing Calendar item for the entire day.
Additionally, users now have quick access to schedule one-time Hearings from the Calendar. Users may schedule a Hearing by selecting the Hearing option in either the Schedule menu on the Calendar page or the menu which is presented when clicking on a date/time on the calendar.
Review Hearings from Bulk Entry
Reviewing Hearings remains the same as it has in the past except that it is now accessed through the More icon menu.
When selecting Review Hearing, the Review Hearing wizard opens and functions as it has in the past. Once the Review is completed, the wizard closes, the Review is saved and the Hearing Status is changed from “Pending” to “Reviewed”.
Complete Hearings from Bulk Entry
Completing a Hearing functions the same as it has in the past except that it is now accessed through the More icon menu.
On the Bulk Entry – Hearings page, selecting the More icon on the right side of a row will open a menu with the “Complete Hearing” option (Note: If the selected hearing date is in the future the “Complete Hearing” option is hidden).
When “Complete Hearing” is selected, the Complete Hearing wizard opens, functioning as it does today. Once completed, the wizard closes, the Hearing is saved and is removed from the list.
Note: Users must have Edit Hearing permission to complete Hearings
Mark Hearing as Missed from Bulk Entry Page
Users are now able to add notes when marking a Hearing as missed; notes will be displayed on the Notes tab of the Involvement view. This is also now accessible through the More icon on the Bulk Entry – Hearings page.
On the Bulk Entry – Hearings page, selecting the More icon on the right side of a row will open a menu with the “Mark Missed” option. (Note: If the selected Hearing date is in the future the “Mark Missed” option is hidden).
Selecting Mark Missed opens a dialog that allows the user to enter notes:
Upon clicking the Missed button, the dialog closes, the Hearing is marked missed, an Infraction and Notification are generated and the Hearing is removed from the list. The note entered will be visible on the Notes page on the Involvement View and will be associated with the hearing: “Hearing MM/DD/YYYY: Missed”.
Mark Hearing as Excused from Bulk Entry Page
Users now have the ability to mark a Client Involvement as Excused from a scheduled Hearing, as well as the ability to include notes which will be available to view on the Notes tab of the Involvement view.
On the Bulk Entry – Hearings page, selecting the More icon on the right side of a row will open a menu with the “Mark Excused” option.
When selecting Mark Excused, a dialog opens that allows the user to enter notes:
Upon clicking Excused, the dialog closes, the Hearing is marked Excused, no Achievement, Infraction or Notification is generated and the Hearing is removed from the list. The note entered will be visible on the Notes page on the Involvement view and will be associated with the hearing: “Hearing MM/DD/YYYY: Excused”.
The Activities page will show the hearing description as “Excused”.
Reschedule Hearings from Bulk Entry Page
Users now have the ability to easily reschedule some or all of the Hearings on a particular date and time to a new date and/or time with one action.
There is a Reschedule Hearing button at the top of the Bulk Entry – Hearings page that is disabled by default; the button is enabled when one or more Hearings are selected.
When clicking Reschedule Hearings, a dialog opens with the following fields:
- Hearing Date (defaults to the current hearing date for the selected hearings);
- Start Time (defaults to the current start time for the selected hearings); and,
- End Time (defaults to a half-hour after the start time).
Upon clicking Reschedule, the dialog will close and that single occurrence of all selected Hearings will be rescheduled to the newly selected date, start and end time.
If one or more Involvements already has a Hearing scheduled for the same date and start time, the Hearing will not be duplicated. The Involvement will still only have one Hearing on that date and start time. The end time will remain the same time that was defined on the original Hearing schedule.
Delete Hearing from Schedule on Bulk Entry Page
Users are now able to delete scheduled Hearings from the Bulk Entry – Hearings page, allowing users to correct mistakes, if needed.
A new “Delete Hearing” permission has been created – only users with the “Delete Hearing” permission are able to delete Hearings.
There is a Delete Hearing icon at the top of the Bulk Entry – Hearings page that is disabled by default; the button is enabled when one or more Hearings are selected.
When clicked, the delete confirmation dialog is displayed; if confirmed, the selected Hearing is deleted.
If the Hearing is part of a recurring schedule, only the selected occurrence is deleted.
In-Application Notification of New Releases
Users have reported issues with AIMS following new releases. We believe this is caused by leaving AIMS open when it is being updated to a new version. AIMS will now notify users when a new version has been released allowing them to reload AIMS, thereby resolving any mismatched version issues. Clicking Reload will reload AIMS with the latest version.
